The pivotal moment that opened doors to working with local government

Over three years ago, Manage My Fleet joined Local Buy Arrangement LB281 (soon to become LB339) with a clear purpose: to make it easier for local councils to access high-quality telematics solutions through a compliant, efficient, and transparent procurement process.

Having worked alongside councils for over 15 years, we understand the internal procurement challenges many face — lengthy tender processes, compliance burdens, and limited supplier visibility. By becoming a pre-qualified supplier on Local Buy, we aimed to remove these barriers. Local Buy enables councils to engage suppliers without the need for a full tender, streamlining decision-making and saving significant time and resources.

Joining Local Buy has not only ensured we meet rigorous quality, insurance, and compliance standards — it’s also helped us build trust with councils across Queensland. Through LB281, we’ve proudly supported five councils and counting, delivering proven outcomes in areas such as safety, ROI, and fuel tax credit (FTC) optimisation.

The transition to LB339 represents the next phase of our commitment to local government. With Local Buy as a procurement pathway, councils can confidently partner with Manage My Fleet knowing the process is easy, compliant, and designed for speed without compromising quality.

Project Engagement and Outcomes – Scenic Rim Regional Council

Manage My Fleet was engaged by Scenic Rim Regional Council through a competitive VendorPanel tender process under the Local Buy arrangement. The project scope was to supply and install GPS telematics across 210 vehicles, enhancing fleet visibility, utilisation, and safety.

The Request for Quotation (RFQ) closed in October 2023, and following shortlisting, we were invited to present our solution in detail. This involved demonstrating our project delivery approach, including scheduling, installation processes, and our staff training model. Our emphasis on post-installation support, ensuring full ROI, and enabling internal adoption across departments was a key factor in our successful bid.

We were formally announced as the successful supplier in November 2023, and installation was completed within approximately three months. Throughout this period, our team coordinated closely with council stakeholders to ensure minimal disruption to operations and rapid deployment across all vehicles.

Since rollout, multiple departments across council have actively used the system, achieving measurable improvements in driver safety, fleet visibility, and operational planning. One standout benefit has been the ability to assess vehicle utilisation, enabling council to make informed decisions about fleet size optimisation.

We’re now working with council to implement automated maintenance reminders and integrate telematics data with internal platforms such as TechOne, streamlining day-to-day operations and asset management. The project showcases our ability to deliver not just technology, but tangible operational outcomes for local government.
